Cancellation policy

1. What this policy covers

This is the OHS SMART cancellation policy for monthly plans. It applies when you cancel a R250, R350 or R450 monthly pack before the 12-month commitment is finished. Once-off purchases (mini pack, one full safety file, and individual documents) are not monthly plans — they are not refunded and they do not have a cancellation settlement.

2. Monthly plans are a 12-month commitment

When you pay for a monthly pack you agree to 12 monthly debits at the plan price you chose. PayFast (or the payment provider) debits that amount on the same calendar day each month.

Months already paid are never refunded. Unused time, unused file credits, unused companies or unused sites do not create a refund.

3. How to cancel

Cancel under Account in the app. Complimentary maintainer logins cannot unsubscribe.

If no months remain in the 12-month commitment, you may cancel with no settlement. After that, unpaid-account rules apply: you can still view existing data, but you must choose a paid pack before you add a new company or site or generate another file.

4. Early cancellation settlement — 75%

If you cancel while months are still left on the 12-month commitment, you must pay a cancellation settlement of 75% of the outstanding amount for those remaining months. That settlement is the last payment. After it is collected, the monthly plan ends and no further monthly plan debits are taken for that plan.

Outstanding amount = remaining months × your monthly plan price.

Settlement = 75% of that outstanding amount.

Example: you are on the R250 monthly plan and 10 months are still left. Outstanding amount = 10 × R250 = R2 500. You must pay 75% of R2 500 = R1 875. That R1 875 is the last payment.

5. Collection

Pay the settlement with PayFast (card or EFT) from Account. PayFast will keep trying to debit that last payment until the money has been taken. If a debit fails, it will be retried until it succeeds. You remain responsible for the settlement until it is paid.

The settlement amount is calculated when you request cancellation and is then frozen, so it does not change if more calendar days pass while PayFast retries.

6. What happens after the last payment

Once the settlement is collected, monthly pack debits stop. You keep access to companies, sites and files already on the account. Adding a new company or site, or generating another safety file, needs a new paid pack.

Deleting your profile also removes companies and sites under that account. Deletion does not refund money already paid. If a cancellation settlement is still outstanding, it remains payable.

7. Chargebacks

Chargebacks and refund requests for a change of mind, unused time or unused credits will not be honoured. The early-cancellation settlement is part of the price of leaving a 12-month monthly plan early.
